The pursuit of a number of strategic bids with the Domain has lead to an opportunity for an enthusiastic Bid Coordinator to join the Bid Team.
This is an important role that will support the Bid Manager and other principle Bid Team Members on specific bids by providing organisation, planning and facilitation of the bid data respository and workflow management system to enable the bid team to focus on the preparation customer oriented and internal bid milestone deliverables.
This role will also organise reviews, record Minutes of reviews and log/track actions to ensure that they are completed on time. Elements of the role will also include the distribution of communication to the bid team and administrative tasks in support of the bid team, such as booking hotels and meeting rooms.
The key focus of this role is to ensure that the Bid Team is organised and working within a clearly defined working environment with a consistent set of tools and templates to allow the optimal progression of the bid.
Key Responsibilities and Tasks:

Detailed and complex diary management
Provide a full administrative support service to the Bid Team on designated tasks, including photcopying, booking hotels, travel and organising meetings and reviews.
Obtain information from sources as directed by Bid Leadership Team and collate into Summary Reports.
Use of PC software applications: - PowerPoint, Excel, Access, MS Word, and Outlook, E-Mail for the production of documents, presentations, slides and electronic dissemination.
Act in the role as ?Facilitator? for the designated CTOL work flow management system and bid data repository.
Prepare and raise Purchase Requisitions and seek approval from the appropriate delegated authorities.
Maintain a report of Bid Budget spend and work with Bid Leadership team to prepare budget forecasts.
Be accountable for the Bid Environment and work with Bid Leadership Team to provide signage, visual aids and ensure that environment is at all times clean and tidy.
Attend meetings and accurately record comments and actions from these meetings.
Work with the Bid Manager and Proposals Manager to liaise with team members to monitor progress against deliverables and track progress.
Receiving e-mails, redirecting where required. Responding on behalf of Senior Manager, including holding responses and flagging priorities.

Skills
Essential
Demonstrates business awareness, good communications skills (verbal and written) and ability to interact effectively, courteously and professionally both within internal and external customer communities
Advanced skills in use of Microsoft Office applications, in particular Word, Excel, Outlook and PowerPoint.
Knowledge of Intranet and Internet use.
Customer-focused, acting as an ambassador with the Bid Manager and Capture Leader.
Team member working to team goals.
Have excellent organisational skills and the ability to manage and motivate others.
Able to prioritise workload and complete work within agreed timescales to a high quality, getting it right first time.
Ability to meet stretch deadlines and demands of the team. To be proactive in finding solutions to problems.
