A large Engineering client is looking a Safety & Administrative Assistant to join their team in Hull. This position supports safely moving blades and turbine component parts around the Port of Hull, including to and from the factory, into main storage, to and from vessels at the quayside both within the docks or at the River Berths.
There will be a requirement to assist with general site administrative duties within the Dock, including any extended storage space in the Hull area. The individual appointed will represent the Client, exclusively, monitoring, recording and advising of concerns; particularly relating to Safety.
Experience in Administration would be beneficial, minimum education level of GCSE.
The Safety and Administrative Assistant Supporting Port / Ground Transport - duties and responsibilities will include, but not be limited to:
Support the safe execution of allocated tasking, responsibility including;
- Have a general understanding of port operations, including ground transport, vessel operations and other service providers.
- Update and upload port activity information into spread sheets, particularly component moves.
- Upload safety observations into the Client electronic safety database (Sphera); Sphera knowledge will be taught and developed.
- Update and upload fuelling data, spreadsheets, including amounts of fuel allocated to different site contractors; enabling a charging mechanism to be accurately managed.
- Act as a secretary for the Head of Port Operations and Deputy Head of Port Operations; managing calendars, some documents and other general and basic administrative tasking.
- Look after the office equipment, supplies and maintenance, keeping the office fully functioning at all times.
- Take meeting minutes, assist with booking rooms and hosting clients, when required.
- Manage the ordering of PPE for the SGRE site team, holding a small amount of spare equipment in storage.
- Attend and contribute, when required, to point of work briefings (feedback any concerns/things that are unclear).
- Support various other port users, 3rd party contractors and visiting vessel's crews in the conduct of their duties; particularly with regards to advice relating to port Safety and local rules and restrictions in force.
- Working hours will be 8 hours per day, Monday to Friday, 9 to 5. Overtime may also be made available.
