We are looking for a new team member
We're looking for an all-round administrator to join our small team. We're a dedicated facilities and administration team who work collaboratively to support our office base of approximately 500 staff from diverse backgrounds, and we're looking for someone who really understands the professional environment and what a well-run office looks like. You may be asked to undertake a broad range of tasks, but this is not a high-pressure role, rather one where a confident manner and an adaptable and flexible approach to administrative responsibilities will be appreciated.
Let's talk about the job
Looking after Reception - We need you to be confident in running our reception. Our office has quietened down in recent months, but we still have regular visitors. Day-to-day activities would be welcoming staff and visitors, help with booking meeting rooms and organising refreshments, parking management, switchboard services, and helping run our desk booking system to ensure a positive first impression of Mott MacDonald.
? Helping us be sustainable - As a business we prioritise sustainability and environmental performance. Because it's so important, you and the Facilities Manager will work together to monitor the environmental performance of the Cambridge office and work towards continual improvement. Practically, this will involve collating data on energy use and waste, preparing reports and promoting good behaviour around the office.
? Managing our post - We don't receive/send a huge amount of post, but there are daily deliveries and dispatches. Day-to-day you'll sort our incoming and outgoing post and courier shipments, monitor consignments, and flag up potential delivery issues with the sender.
? Managing supplies - We have lots of resources for our office staff, from stationery to fruit, paper to personal protective equipment. We'd like you to make sure we don't run out, by monitoring our stock and ordering new supplies.
? Other facilities support - We're looking for someone who's confident about taking on new tasks when the situation calls for it! These things are not something you'd be regularly doing, but sometimes we'll need help with filing, calling suppliers, updating noticeboards, assisting with new starts and leavers, advising on desk set ups, and archiving.
Skills that will set you apart
We think that to be successful in this role you will:
? Have worked in office administration before and will have a demonstrable understanding of what a professional and well-run office looks like.
? Be flexible and confident enough to manage different things every day but also experienced enough to work independently.
? Be an excellent verbal and written communicator.
? Be experienced with Outlook and Microsoft Teams and have a good understanding of their functionality.
? Be able to create and manage simple Excel spreadsheets, PowerPoint presentations and Word documents.
This is what our ideal administrator would look like, but it's OK if you don't tick every box, we understand that any new job means you'll need some training and support.
