Document Controller/Plant Administrator required to join a small, fast developing groundworks sub-contractor to be based in a main site office supporting an office running the day to day running of the office as well as being responsible for all plant hiring/off-hiring

Responsibilities:
- Follow goods received and plant hire routines as defined by the project accounting system, working to weekly and monthly costing systems.
- Acting as first point of contact in the office and answering incomming calls
- Establishment and maintenance of central site files, drawings and registers
- Support QA activities with collation of hand-back documentation, Health and Safety files and client asset database
- Maintenance of relevant document and drawing registers
- Administer the hourly and weekly paid payroll, timekeeping and labour allocation systems
- Creating, formatting and updating documents using Microsoft packages
- Manage the day to day running of the yard with all incomming deliveries and visitors
- Work to exceed expected quality standards, comply with processes at all times and contribute to improvements
- Assist surveyors, supervisors and engineers with administrative functions including filing, printing and photocopying.
- Resolving all queries and processing weekly invoices for payment
- Approve invoices for payment or raise the necessary invoice queries
- Monitor and interpret expenditure on site services ensuring bills are checked and paid on time.
- To administer the Document System and provide periodic and adhoc reports
- Support the company directors as required including diary bookings, organising travel, taking meeting minutes, collating reports, maintaining office supplies, making refreshments
- Quality review of all submissions to ensure compliance with formal submission criteria
- Collation of AFC packs to enable CEM review and sign off
Successful candidates must have:
- Previous experience working on site or in a project office
- Excellent communication skills
- Strong IT skills in MS Office including Outlook, Excel, Word
- The ability to multitask
- Good attention to detail
