Project Administrator in Bristol, Bristol, United Kingdom

My client based in Bristol is looking for a Project Administrator to join their growing rail team. The successful candidate will be supporting the project management team who are working on major exciting projects. These include a wide range of electrification and infrastructure enhancement projects across the UK rail network and the Metrowest phase 1 and 2 work that form part of the wider transport strategy for Bristol.

There is a basic salary on offer up to £25K which also includes an excellent benefits package.

Role:

Your role will be to support the Project Managers in various administration activities, this will include fast and effective document control, financial administration, reporting, contract administration and other duties to ensure that key deadlines are achieved.

  • Using SharePoint and ProjectWise to process incoming and outgoing project critical documentation
  • Liaise with the project team members for preparation of all technical submissions.
  • Ensure all submissions are submitted in timely manner and that changes and revisions are managed as part of document control process
  • Keep track of all documents correspondences and transaction.
  • Maintain and update all document registers
  • Control of issue and receipt of all documents and drawings – Quality checking all information
  • Monitor and update any change and modification to the technical documents. Highlight any deviation to Engineering manager for attention
  • Liaison with project team for the preparation of presentation materials if necessary
  • Raise PO’s and invoices as required
  • Administering Contract awards ensuring signatures are gained and captured in a timely manner and stored appropriately
  • Support to the Project Managers producing project reports
  • Administration of the KPI systems ensuring environmental and safety KPI’s are captured in a timely manner
  • Coordination and management of Tender documentation to support the Project Managers submit efficient and correct bids

Requirements:

  • Knowledge of SharePoint and the Microsoft Office suite including Microsoft Excel
  • Work unsupervised, self-motivated and self-managing.
  • Good communication skills and well organised, attention to detail, flexible and professional
  • Previous experience as a Document Controller, ideally within the rail sector, however this is not essential.
  • Ideally previous experience of ProjectWise, Network Rail’s EB system or similar project communication system is a distinct advantage
  • Familiar with Design environment and Project Management environment and Document Control management
  • Familiar with working with Design Engineers and understanding their terminology
  • Ideally nan read and interpret a design drawing
  • Knowledgeable about Change Control, Technical Queries, Design Management
  • Can act on behalf of design engineers to pursue and track Technical Queries.
