Locomotive & Wagon Fleet Coordinator

Purpose of the Role
To assist with the day to day Colas Freight business and to streamline resource provision for safe and effective Locomotive & Wagon Fleet delivery. This will include managing customer expectations, preparation of detailed documentation and information and working closely with internal engineering, operations control, planning, commercial and finance departments to maximise revenue and profitability.
Key Accountabilities -
- Safety - Actively demonstrate support for the implementation of the Colas Rail Limited Safety, Health, Environment and Quality (SHEQ) strategy, associated with the planning and roster process including fatigue management.
- Profitability - Ensure via direct liaison with freight planning that services are delivered in the most cost effective way. Any short term customer requests for additional work or opportunities for increased revenue are discussed with the relevant contracts manager to ensure viability.
- Quality - The reputation of Colas is significantly influenced by the effectiveness and quality of the services we deliver and the competence and professionalism of the staff delivering and managing (real time) those services, the post holder must ensure that the right skills are allocated to deliver the service we provide.
- Respect - Treat people in a fair and consistent way. Work with other departments consistently and strive to understand internal and external client's needs and requirements.
Key Tasks
- Preparation of weekly locomotive & wagon plans and simplifier, liaise with engineering department staff to ensure sufficient locos & wagons are available to enable services to operate seamlessly taking into consideration maintenance requirements. Monitor TOPS and ensure reporting is up to date
- Attend the daily morning conference call and distribute/communicate notes/information etc
- Produce and develop performance data highlighting (as a minimum) expected asset utilisation including fuel and service punctuality and light engine movements
- Identify locomotive & wagon requirements for SCO and Commercial freight at T-4
- Produce and distribute weekly loco plans
- Order and monitor loco fuel usage and stock levels and produce period reports for finance including accruals.
- Run daily TOPS wagon fleet reports and collate this information into wagon pool availability and stoppage reports.
- Provide daily wagon availability reporting to the Freight Management team
- Provide weekly wagon pool availability and stoppage reports to Customers.
- Proactively manage all known wagon maintenance events to minimise disruption to the core Commercial services
- Work with the Planning and Resourcing team to optimise wagon availability for Commercial services and maintenance and repair events.
- Prepare completed maintenance schedules so the Commercial Team can invoice for work completed.
- Validate all third party Wagon maintenance and repair Invoices
- Assist the Fleet Resource Manager and other members of the Freight Team as required

Person Specification
- Possess and constantly display all of the attributes of the five E's Energy, Energize, Edge, Execute and Engage
- Be calm, understanding and caring when dealing with other staff and departments.
- A good general knowledge of railway geography and freight business
- Have good IT skills to be able to interrogate, update and develop where appropriate all computer based planning tools including Word and Excel used by Rail Services.
- Be a positive, polite and proactive team player with logical thinking
Qualifications/Experience
- Excellent communication skills
- Knowledge of Locomotive and Wagon types
- Be proactive and able to show initiative with a positive approach to work
- Experience of producing detailed reports and data.
- Good geographical knowledge of the railway network and infrastructure.
- Ability to work on multiple projects
