Job Title: Manager - Fit Outs

Kintec are currently recruiting for a Fit Out Manager to work in Qatar on a 12 month contract basis .... Residental role working for an international property development company. Start date: 1st of October 2018
2. JOB PURPOSE:
Manage handover and modifications of commercial/residential and retail units in coordination with commercial/residential and retail property management units and Sales & Leasing in line with company policies and stakeholders' expectations.

Customer
? Customer satisfaction (survey - questions related to handover)
? Defects reported (# of post-handover defects reported)
? Timeliness in generating handover and fit-outs reports (# of late reports/ # of reports)
? Adherence to handover policies and procedures (# of handover policy and procedure breaches per property per year)
Internal Processes
? Handover and fit-outs efficiency (average property handover time vs. target time)
Capabilities & Learning
? Training attendance (# of training days per year)

5. KEY ACCOUNTABILITIES:
Description
Strategy
" Execute the functional strategy in line with the departmental strategy to ensure the achievement of departmental objectives in due course, cost and quality.
Operating Plans and Budgets
" Assist in the development of the department's annual business plan, KPIs and budget,
Policies and Procedures
" Develop and Implement policies, procedures, and operational standards for the function in line with the departmental policies and procedures
Operations
" Process and document the receiving of completed residential units from Projects and vacated units from Sales & Leasing, and turn it over to new tenants/ owners (or PM if unit is not leased/ sold) while adhering to handover processes and procedures
" Coordinate with PM units, Finance, Sales & Leasing and Legal Affairs in preparing all the necessary handover and fit-outs documents and expedite all handover and fit-outs activities
" Perform unit inspections for vacated units and recommend deductions from security deposit when necessary during the dilapidation process
" Manage external contractors during peak seasons
" Coordinate meetings with new tenants/ owners with regards to handover and fit-outs, testing and commissioning, property orientation, and unit inspection and resolve their issues in coordination with the segment property management units
" Review Design Fit-Out Submittals (Concept & Detailed Design) and provide feedback to Clients
" Review fit out design and ensure adherence to Local & International regulations and standards.
" Liaise/coordinate with Consultants with regard to Base Build issues relating to Fit-Outs.
" Conduct regular on-site inspections of Fit-out installations as they progress through to completion.
" Periodically review the Logistics plan & update as the MDD site progresses.
" Review and update the Tenant Fit-out Guide regarding each property segment/asset class.
" Implementation and regular reviews of the Fit-Out steps to ensure a quality standard Fit-Out.
" Document and highlight any problems, defects, and non-functioning of fixtures
" Maintain all property records indicating all technical modifications completed
" Ensure that all problems are attended to within the contractual timeframe
" Manage the guarantees of Fit-Out contractors in regards to defects
" Highlight and escalate any instances where issues logged are not addressed
" Oversee the transfer of utilities from MP to the new tenants/ owners such as water, electricity and gas as required by local regulations
" Coordinate handover and fit-outs activities with PM
Continuous Improvement
" Identify opportunities for continuous improvement to enhance performance and quality of work with a view of stakeholders' expectations.
Health, Safety & Environment
" Follow all relevant safety, quality and environmental management policies, procedures and controls to guarantee employee safety, legislative compliance, delivery of high quality products/services and a responsible environmental attitude.

5. FRAMEWORKS, BOUNDARIES, & DECISION MAKING AUTHORITY:
" The Manager - Handover reports to the Senior Manager - Property Management and confers with the latter on critical and strategic issues.
" Key decisions having significant impact on the Handover function are referred to the Senior Manager - Property Management for approval before implementation.
" The jobholder exercises financial authority as per the level established by client management.
