About the role / project:

The Deployed PMO Lead reports to the Portfolio Leads and will be responsible for driving the accurate tracking and reporting of delivery progress. They will also provide an independent analysis and guidance and assistance on financial, quality, project issues and risks provide recommendations on alternatives and solutions as appropriate and provide leadership and direction to Project Manager on PMO processes, such as the lifecycle, Schedule Inspections and Risk Workshops.

What you will do:

RAID Management

  • Carry out regular independent RAID review ensuring risk and issues are recorded and regularly maintained in ARM
  • Carry out periodic RAID review sessions with all project teams within the portfolio
  • Monitoring and follow up on RAID and ensure they are actively managed by assigned owners

Resource Management

  • Liaise with the Resource Management team to ensure the timely and smooth on-boarding of team members (tools, training and log in Id's)
  • Assisting the Portfolio Leads with co-ordination of Resource Requests

Finance Management

  • Responsible for management and tracking portfolio finances
  • Assisting PMs in collation and completion of project financial reports (OPSOCs)
  • Production and circulation of Purchase Order Reports and management of invoices
  • Liaising, where necessary, with other RSIT teams to resolve financial /commercial queries e.g. Purchase Order reconciliation (CCOs), Budget Change Orders.

Quality Management

  • Document control and management is being applied across the portfolio's
  • Ensuring adherence to document quality and configuration management principles
  • Liaising with the central PMO to ensure current templates are available and ensuring that correct reporting templates are used across the team.
  • Maintenance of Portfolio Hub sites including regular content reviews
  • Schedule Inspections

Reporting

  • Assist Project Manager in the production of regular status reports - weekly and periodically
  • Ensure adherence to the Portfolio Reporting Cycle
  • Responsible for consolidation and presentation of Portfolio Report
  • Facilitation of periodic portfolio meeting
  • Status reporting and presentation for Project Governance and Steering board meetings
  • Facilitation of SI/supplier scorecard process and programme and project meetings as requested

Scope Control Management

  • Carry out stage gate readiness meeting and assist the PMs in preparation for RSIT Stage /Quality Gates
  • Project Performance Analyses - measuring and monitoring progress at clearly defined points
  • Ensure all projects in the Portfolios have Critical path analysis and issue resolution
  • Change Request Management (CCN, Route Services IT Change Requests)
  • Independent analysis of portfolio processes and procedures and recommendation on alternatives

Coaching and mentoring other team members

  • Presenting and training other team members on best practice and approach to planning, reporting, Risk and issues management, Dependency Management and any other areas that would be beneficial to the team
  • Identify areas of continuous improvement and recommend \ lead improvements.

Miscellaneous

  • Provide project administration support and assistance to the team.
