Purpose of the Role
To provide administration support to the Rail Grinder Operations Manager, direct reports, the depot and the team in the delivery of team responsibilities. Managing personnel records and assisting in organisation (i.e. timesheets, competency paperwork, maintenance paperwork) organising appointments, meetings and travel arrangements. Ensuring the Rail Grinding team is delivering to the specified time frames allocated to various projects and staff.

Challenging Parts of the Role
- Provide organisational services for the Rail Grinding office staff and site management.
- Maintain robust paperwork and electronic filing processes and systems.
- Devise and implement processes so as to improve effective administration.
- Make best use of IT, and reduce volume of paperwork.
- Deal with the level of short term changes that occur on a daily basis
Key Tasks
- Manage the logging and processing of time sheets, competency, and maintenance paperwork.
- Provide support for arranging of meetings, medicals, training, personal development reviews and other schedules.
- Liaise with all internal departments to ensure the Rail Grinding operation is working at optimal levels
- Organise accommodation, conferences, meetings, and presentations, managing meeting room resources as needed.
- Provide a consistent telephone presence on behalf of the team ensuring that excellent customer service levels are achieved at all times.
- Ensure that all work files and records are maintained and updated in an efficient manner and archived as necessary.
- Provide communications support to the team including scheduling and distribution of internal and external communications.
- Provide support for processing, filing and maintaining technical paperwork as applicable
- Provide support for other administrative tasks as directed including the filing and notification of competencies
- Office management: Maintain and organise, as needed public office areas, including management of external suppliers to the office and materials.
- Maintaining briefing records for the delivery team
- Delivery of other administrative tasks as directed.

- Computer Literacy - Word / Excel / Power Point
