Maddox Construction Services is a specialist rail contractor delivering high-volume minor works packages across Network Rail assets, typically ranging in value from £5,000 to £100,000 per project. With over 20 years’ experience in the rail sector, we have built strong, long-term relationships with Tier 1 contractors due to a reputation built on safety, compliance and reliable delivery.
We operate a lean, delivery-focused structure, coordinating in-house labour and specialist subcontractors while maintaining strict control over site management and delivery, ensuring Network Rail standards and expectations are consistently met. As our workload continues to grow, we are strengthening our internal delivery team to support a structured and controlled expansion.
The Opportunity
We are seeking a proactive and highly organised Project Coordinator to join our growing team and support the delivery of rail minor works projects. This role is central to ensuring the smooth coordination and execution of multiple live work packages, maintaining control over project activities, documentation, and programme delivery.
The successful candidate will play a key role in supporting project management and site delivery teams, ensuring that works are carried out safely, efficiently, and in full compliance with Network Rail standards.
This is a hands-on coordination role focused on the delivery of numerous smaller works packages running concurrently, rather than a single standalone project. It requires strong organisational ability, clear communication, and the ability to respond quickly to issues as they arise.
The role is primarily office-based, with infrequent site visits undertaken as required to monitor progress, resolve issues, and support site teams.
The Role
You will:
- Assist in coordinating the delivery of 15–25 concurrent minor works packages within live rail environments, supporting the Directors, Senior Lead and delivery team.
- Support the preparation and organisation of site folders, delivery documentation, and project hand back records.
- Assist with the creation, formatting and issuing of RAMS and compliance documentation in line with project and client requirements.
- Support the preparation of subcontractor purchase orders for review and approval.
- Liaise with clients and internal teams to help coordinate site access, documentation and project readiness.
- Proactively follow up with subcontractors and suppliers to help ensure deadlines and project milestones are met.
- Arrange and coordinate training, accommodation, plant and equipment to support project delivery.
- Assist with coordinating and logging material orders, deliveries and returns across multiple projects.
- Update and maintain the live operations board to provide clear visibility of ongoing and upcoming works.
- Maintain structured project records and document control systems.
- Support the tracking of project tasks and actions, ensuring items are followed through accurately and completed on time.
What Success Looks Like
- Projects are well organised and under control – site folders, documentation, and records are accurate, up to date and easy for the team to access.
- Deadlines are consistently met – subcontractors, suppliers and internal teams are proactively followed up to keep projects moving.
- Documentation is prepared and issued correctly – RAMS, compliance information and delivery paperwork are formatted clearly and distributed on time.
- Logistics run smoothly – plant, equipment, training, accommodation and materials are arranged in advance so site teams can focus on delivery.
- Clear visibility of project activity – the live operations board and project trackers are maintained, giving the team a clear picture of upcoming works and project status.
- The Senior Lead and delivery team are effectively supported – information is organised, actions are tracked, and administrative tasks are handled efficiently.
- Multiple projects are coordinated successfully – despite working across numerous minor works packages, tasks are followed through and nothing falls through the cracks.
Experience Required
- 2+ years’ experience in a Project Coordinator, Project Administrator, or similar coordination role (ideally within construction, rail, infrastructure, or a related industry).
- Experience working in environments where multiple projects or work packages are running concurrently.
- Strong organisational and administrative skills with the ability to manage documentation, track actions, and maintain structured records.
- Experience preparing or coordinating project documentation, such as RAMS, compliance records, site documentation, or similar operational paperwork.
- Ability to communicate effectively with site teams, subcontractors, suppliers, and clients.
- Experience coordinating logistics such as materials, plant, accommodation, or training for project teams.
- Comfortable working in a fast-paced delivery environment, supporting several live projects at the same time.
- Proficiency in Microsoft Office (particularly Excel, Word and Outlook) and general document management systems.
- Strong attention to detail and the ability to follow tasks through to completion.
- Experience within the rail industry or working to Network Rail standards would be advantageous but is not essential.

Important
