Commercial Administrator (Site Buyer)
Location: North West of England
Purpose of the role
The Administrator takes direction from the Commercial Business Support Manager and Senior Team members and provides a wide range of administrative support services to all Functional teams in the Alliance.
What will this role involve
• Supporting the People & Process function as required
• Act as the single point of contact for the Transpire Track & OLE team in relation to purchase orders and requisitions
• Liaise with Commercial Function in relation to purchase order costs, queries and booking to correct cost codes. Obtain approvals, ensure correct cost codes are on orders, attend Plant & Tools meetings with Commercial
• Liaise with H&S function to collate all Site Inspections, H&S Briefings, Safety conversations and track them on a tracker in EDMS.
• Act as the single point of contact for the Transpire Track & OLE team for Plant and Tool orders and Liase with HSS to ensure works can proceed with the correct equipment in place. This will require report collation.
• Liaise with Site Supervisor for delivery and collection of Plant & Tools.
What are we looking for
Essential
• Highly competent levels of IT skills (Microsoft Office, Outlook, Excel, Word, PowerPoint, MS Teams, use of SAP system
• Familiar with/exposure to management systems or other similar data entry and reporting database applications
• Able to develop and maintain good working relationships
• Flexible and adaptable to be able to react to new challenges within the Alliance
Desirable
• Knowledge of/experience of working within SAP
- Maintain and update records within management information systems
- Undertake general “team” administrative duties as and when required
- Distribute and share information internally to ensure customer needs are met
- Maintain Office systems in an orderly manner
- Assist with the delivery of services to the client as prescribed by team leader/management
- Raise purchase orders and manual requisitions
- Goods receipt delivery notes in SAP
- Assist and resolve parked and blocked list
- Monitor and Maintain Stationary and Welfare Consumable stock levels
- Input to and maintain spread sheets/databases/systems and produce and collate levels
- Raising Plant and Tools requests, off hiring and servicing and Liaising with HSS
- Travel Management
- Meeting coordination, internal and external
