Reporting to: Rail Compliance Manager
Job Base: VHRL Head Office, Salford, Manchester
Overview - Scope and Responsibilities
Scope:
VHRL sponsor, manage and coordinate approx. 3000 workers to deliver work efficiently and safely on Network Rail managed infrastructure.
Performing business compliance tasks for Vital Human Resources Ltd (VHRL) business reporting to the Rail Compliance Manager and supporting the compliance department to meet the requirements and undertakings of the business to satisfy its clients in the rail industry including Network Rail.
Working with VHRL staff based at VHRL’s Head Office and staff located at branches nation-wide.
Using VHRL’s business-wide PeopleSoft system and Network Rail’s Sentinel system (Sentinel) to perform tasks and provide information to VHRL staff and clients e.g. Key Performance Indicator (KPI) reports.
Attend meetings with VHRL staff and clients.
Responsibilities:
Rail Compliance Co-ordinator responsibilities include:
Compliance:
- Compile information from VHRL’s PeopleSoft System and Sentinel for internal and external reporting
- Process branch requests for Network Rail training courses on Network Rail’s eLearning platform
- Assist resolving any non-conformances and provide support with training
- Assist in providing information from the Sentinel to VHRL’s Health and Safety team for the purpose of investigations.
- Support compliance team administration and housekeeping tasks - PeopleSoft and Sentinel
- Perform random/sample checks (internal audits) on key processes and procedures e.g. application process, right to work checks, health and medication checks
- Support the business maintain a thorough understanding of compliance processes and procedures imposed by e.g. Network Rail, rail industry and other relevant legislation
- Liaise with external parties including Network Rail, Sentinel Investigations, rail authorities/bodies and clients as and when required
- Develop an understanding of relevant rail industry legislation and Network Rail standards applicable to the role
Sentinel
- Run daily process to download Sentinel information to PeopleSoft
- Support branches understanding of Sentinel and provide Sentinel information upon request
- Compile and issue Sentinel competency expiry reports for branches to arrange training or assessment
- Liaise with Sentinel/Mitie helpdesk to resolve any Sentinel related issues
- Impress compliance with Sentinel Scheme Rules and support branches understanding of relevant processes and procedures
KPI’s and reports
- Produce internal and external (client) KPI reports compiling data from PeopleSoft and Sentinel
- Plan and co-ordinate input from branches and head office for compilation of KPI reports
- Produce ad hoc reports for VHRL management and directors
Business support - rail operations
- Support branches understanding of Sentinel, sponsorship and compliance processes and procedures
- Support internal and external (client) audits with provision of PeopleSoft and Sentinel information and any other compliance related input
- Disseminate updates to rail industry, Network Rail and Sentinel rules or standards to branches
Business support - marketing and business development
- Provide Sentinel information to Bids & Tenders team
Information Management System (IMS) - SharePoint
- Assist with updating VHRL process, policies and procedures on VHRL’s information management system - SharePoint
