Vital Human Resources Ltd, is a subsidiary of Morson Group and a dedicated, highly regarded recruitment business. Vital are looking to recruit a Rail Administrator to provide full support to our growing Farnham office.

Role: Rail Administrator

Location: Vital Human Resources Ltd | Unit 10, Guildford Road Trading Estate, Farnham, Surrey, GU9 9PZ

Hours: Full Time / Mon – Fri / 9am – 530pm

Salary: £25k per annum

Job Description:

  • Answer incoming calls and pass on messages
  • day to day management of the PeopleSoft Rail Planner
  • responsible for ensuring all planned works are planned safety and in line with the Network Rail Life Saving Rules and Sentinel Scheme Rules
  • loading / checking / changing orders & OR’s on Rail Planner
  • sending NWR orders to Vital orders team to load
  • daily assigning of operatives to shifts using boards client call off sheets
  • identify problems, exceedances or breaches of Network Rail Life Savings Rules and Sentinel Scheme Rules and create and distribute daily problems emails to the resourcing team
  • identify Fatigue Risk Assessment assessments that need completing
  • complete Fatigue Risk Assessments with operatives and upload to the Rail Planner as a record for audit purposes
  • update problems email throughout the day and distribute to the resourcing team, continue to chase and support the resourcing team to mitigate or replace operatives in a timely manner
  • effectively mitigate problems on Rail Planner and keep a comprehensive record for audit purposes
  • advise resourcing team of Rail Planner issues such as candidates that have been double booked or require a rest day
  • complete a daily Rail Planner morning check on all shifts worked the previous night, looking for changes that may have taken place outside of office hours and liaising with the on call representative / resourcing team
  • once the daily morning check is completed on shifts worked the previous night, bulk assigning all worked shifts ready for payroll entry
  • complete daily afternoon checks prior to works commencing that evening, ensuring all shifts are compliant and that all previously identified Rail Planner problems are mitigated and meet the Network Rail Life Saving & Sentinel Scheme Rules
  • run a Site Operation Manager check report at the end of every day to identify candidates that require additional support / mentoring / checking and sharing this information with the resourcing and Site Operation Manager teams
  • complete Fatigue Risk Index calculations for Sub Sponsorship requests and advise the compliance team if shifts are compliant and can be accepted
  • load Sub Sponsorship requests to the Rail Planner against operative working hours
  • assist the resourcing team with ad hoc duties when required
  • updating and maintaining Rail Planner worksite complexities with new and existing locations
  • liaising with Site Operation Managers and resourcing team to grade new and existing locations on Rail Planner
  • updating and maintaining new and existing operative experience levels on Rail Planner
  • liaising with resourcing team and Site Operation Managers to grade new and existing operative experience levels on Rail Planner
  • complete Fatigue Risk Index calculations for candidate involved in HSQE investigations as a result of on-site irregularities

Additional Info: preferable experience using a computer however no prior industry experience required and full PeopleSoft & Rail Planner training provided.
