Customer Services Materials Administrator in Chippenham, Wiltshire, United Kingdom, United Kingdom
We are seeking a skilled Administrator to join our Customer Services Rail Infrastructure business in the Materials Team, based in Chippenham. This is a 12 month copntract position. In this role, you will work closely with all departments within the Customer Services team and the wider business to ensure timely completion of all administrative tasks. Reporting directly to the Materials Manager of Customer Services, you will be responsible for managing all correspondence sent to the customer services inbox, quotation and order processing, and logistics management.
This role will suit a highly organised individual who enjoys working as part of a team and being involved in the creation of a new service. The ideal candidate must be motivated and forward-thinking, possess good telephone manners, and computer literacy skills. The ability to work effectively in a team environment is essential. The successful candidate will be responsible for a range of tasks, ensuring the delivery of high levels of customer service to internal and external stakeholders.
Primary Responsibilities:
- Proactively manage customer requests for quotations and purchase orders.
- Enter sales orders into the SAP system and raise purchase orders to external and internal supply chains, ensuring a seamless process from receipt until dispatch to the customer.
- Monitor and manage all incoming emails to the customer service inbox.
- Communicate with clients and supply chain partners daily to ensure deliveries are on time.
- Monitor the materials schedule and ensure that manufacturing/external suppliers deliver materials correctly and on time.
- Provide administrative assistance to the Materials Team when required.
- Assist with reporting, order amendments, project setups, billing plans, invoice errors, customer queries, and meeting month-end and year-end financial targets.
Knowledge, Experience, and Personal Skills:
- GCSE-level academic qualifications.
- High level of IT competency, including a good understanding of Microsoft Office Suite (PowerPoint/Word/Excel in particular).
- Previous experience working as part of an operational customer-facing team.
- Excellent organisational skills and attention to detail.
- Ability to prioritise, work to strict deadlines and have excellent time management.
- Previous experience within a complex materials management environment would be an advantage but not essential.
- Experienced in the use of SAP (preferred).
