Document Controller in Newcastle upon Tyne, Tyne and Wear, United Kingdom
Document Controller
Hourly rate negotiable dependant on experience
Monday to Friday - 37 hours a week
5 days a week working from site (option to work from home from time to time depending on business needs)
6 month rolling contract
Principal Accountabilities
- To provide Project Support (including clerical and administrative) to project teams
- To provide necessary support in co-ordinating snagging activities to close out projects/As Built Stage
- Support the Project Engineers (where required) ordering control & protection materials, expediting suppliers, tracking costs and maintaining procurement lists.
- Establishing and maintaining project support systems, e.g. filing for paper and electronic documents, including databases and spreadsheets.
- Logistical support including chasing suppliers and arranging; deliveries, travel, accommodation and hire car bookings.
- Arranging meetings & taking minutes, preparing & typing reports, and co-ordinating the preparation/ creation of another project documentation.
- General office support to the team and liaison with other relevant departments (including; post/ courier arrangements and stationery & PPE control/ ordering)
- General support to other project areas during times of heavy workload, tight timescales, holidays and sick leave
- Liaison with Project Engineers and manufacturing facilities to ensure timely delivery of control and protection solution
- Liaison with the PM/PE/SHEQ & Site Managers to assist with monthly statistics where required
- Co-ordinate & Review meetings for the Team and Direct Support to various project meetings or reporting (arrangements, data collection, minutes and expediting actions).
- Abide by all business compliance requirements in line with Company Policies, for example Business Conduct Guidelines & Confidential Information
Knowledge & Experience
- Previous experience in Administration / Document Controlling.
- Previous background in document controlling desirable but not essential
- Knowledge within the energy sector desirable but not essential
- Good communication skills.
- A keen eye for detail.
- Ability to make quick decisions.
- Team spirit approach
- IT and computer literate
