Administrative Coordinator

We are currently working with a multidisciplinary consultancy who are looking to expand their team in Sheffield by recruiting a Team Coordinator to provide client coordination and administrative support to the Greenspace Team as well as providing additional office management and admin support to the Structures Team. As administration Coordinator, you will give administrative support to consultants, liaise with clients and coordinator Environmental, Health and Safety (EHS) reviews.

 
As Administrative Coordinator your responsibilities include, but are not limited to:

Client Management
  • You will be the gatekeeper for Greenspace: you will be good with clients and consultants; have excellent customer services skills; and be tenacious in securing purchase orders and booking in consultant appointments.
  • You will know the names of your teams clients and contacts and pass on recorded information to consultants who can assist with any queries or potential new work.
Financial
  • Production of accurate Sales Invoices.
  • Use Agresso Financial Management software; training will be provided.
  • Project Set up and Maintenance; accurately create new projects and financial reports.
  • Update budgets/costs of project and work orders as requested.
  • Ensure Compliance with JSox financial protocols and controls; training to be provided
Project/ Commercial Management
  • Support preparation of bids.
  • Maintain and regularly update the Microsoft Outlook Calendar for the team.
  • Integrated Management System (IMS): Follow our Quality and Environmental Management systems ensuring team compliance and appropriate files are up to date.
  • Responsibility for completing project QA forms with relevant staff.
  • Liaise with Facilities Management on general office supplies and equipment maintenance.
  • Assist with the completion of supplier questionnaires and liaise with the various departments (Accounts, H&S, Legal) as required
  • Monitor appointment documents and liaise with legal department
Technical Support & Compliance
  • Manage the Sheffield meeting room.
  • Provide induction and onboarding to new starters and leavers in line with JSox and IMS.
Health and Safety
  • Completion of in-house health and safety training.
  • Ordering safety equipment through Facilities Management.
  • Report any Health & Safety issues to your Director, Facilities Management or H&S Manager.
  • Attendance at quarterly H&S Sub-Committee Meetings
