Job Scope

  • Support the Project Manager on the Collaborative Procurement Programme , BAU and reporting. A Change Programme covering 7 complex and diverse organisations of varying size. The programme has in scope spend of c£400m and since inception it has delivered savings of over £30m.
  • Lead on the co-ordination of reports on Programme performance to GLA Group Collaboration Board, Collaborative Procurement Board and Working Group and GLA Group Collaboration Procurement.
  • Carry out BAU activities including updating Collaborative Monthly report and High Value reports for the GLA. This includes working with Commercial Managers across TfL to coordinate updates
  • Work to improve these BAU activities and streamlining the process to make the information more visibly pleasing to read.
  • Carry out periodic Accruals with Finance and invoicing the GLA for costs.
  • Manage a central inbox for GLA request to ensure procurement request are distributed to the correct commercial team whilst maintain the GLA pipeline and confirming dates of potential new upcoming work.
  • Be responsible for maintaining accurate and timely records and data systems relating to the Programme.
  • Assist with communication plans and activity to ensure appropriate communication on outputs from the Programme
  • Establish contact and maintain a list of contacts with boroughs and relevant borough groups to promote GLA group Frameworks and Contracts
  • Manage a database of Frameworks and Contracts available for boroughs
  • Develope and maintain communications material on Frameworks and Contracts including user guides, request template and web pages.
  • Act as the main point of contact for enquiries from boroughs including managing an email inbox
  • Collect data from boroughs and internal procurement leads on borough usage of Framework and Contracts, analyse data.
  • Develop and complete monthly reports for senior stakeholder groups
  • Liaise with senior GLA and TfL stakeholders on ongoing borough engagement requirements

Key Accountabilities

  • Support the delivery of Implementation Plan
  • Support management of Spend data Dashboard, Collaborative Procurement Board and Working Group Papers
  • Assist with Collaborative Procurement Reporting and charging
  • Assist with Pipeline and Benefits planning
  • Main point of contact for enquiries from boroughs.

Knowledge

  • Knowledge and understanding of projects and programmes
  • Has experience of working within a project management or programme environment.
  • Knowledge of TfL's project management methodology
  • Knowledge of Procurement and Supply Chain objectives and priorities

Skills

  • Computer literate and highly experienced in use of Microsoft Office suite
  • Ability to analyse complex data, draw conclusions, produce reports and make recommendations.
  • Ability to communicate effectively, both orally and in writing, with people at all levels across the organisation and externally
  • Ability to build effective working relationships, with people at all levels across the organisation and externally.
  • Excellent logistical and organisational skills
  • Ability to maintain strict confidentiality

Experience

  • Experience in project and programme management environment.
  • Experience of dealing with a range of stakeholders at all levels across the organisation, improving processes and guidance to support project delivery.
