O & M Technical Author
1. Purpose of the Job
To support the O&M and Asset Information Manager in guiding the Principle contractors and their sub contractors in delivery of the information needed to safely operate and maintain the systems and assets in their scope. This enables us to present O&M information for handover to the IMs via a single process.
2. Principal Accountabilities
- Facilitating the collection of information from multi-discipline contractors to meet the end user information needs for asset operators and maintainers within the IM organisations
- Developing contractor understanding of the digital O&M structure to ensure a singular approach to reviewing, approving and transferring O&M information in a digital format for Handover
- Providing the focal point for all issues and queries relating to O&M information progress and suitability between IMs, Delivery and CEG including attending the O&M related meetings between these parties
- Facilitating the delivery of a consistent and compliant set of O&M information which can be used to form the basis of the final handover to the owner & operators
- Utilising the tools and templates developed to enable the implementation of the O&M procedure and provide the necessary inputs to for reporting progress and raising awareness of issues
- Provide guidance and support to contractors in O&M delivery, which will involve interfaces with Technical Information teams, CEG, and Delivery
- Ensure the contractors provide their O&M information and templates aligned with the virtual asset structure including developing the necessary relationships between O&M information and the virtual asset hierarchy
- Identify and assist in resolution of issues relating to the format, quality and usability of digital O&M information
- Provide guidance material to Contractors, sub contractors, suppliers and staff on the structure, data and metadata requirements for O&M information
- Job Description
- Work with the O&M Information Coordinator to update and utilise the O&M information tracker as well as raise awareness of its uses amongst site teams
- Carry out formal and informal reviews of contractor O&M information and their supplier information as well as attending review sessions with the Chief Engineers to understand the key technical aspects of the system O&M and help ensure consistency across projects
- Work with contractor facility level O&M templates collating inputs from several contractors into one Facility based O&M document, to ensure a consistent set of O&M across all facilities
- Carry out gap analysis and mapping exercises between manufacturer/supplier O&M requirements to demonstrate where information is not being provided to the right level of detail or gaps exist
- Work with the O&M and Asset Information Manager and O&M information Coordinator to build an awareness through regular briefings to site teams and stakeholders ensuring the project mechanisms for structuring O&M documents in eB are clearly understood and properly utilised by Contractor document controllers as well as those responsible for submitting, reviewing and approving O&M Information
- Liaise with RAM team to ensure their information requirements are being captured with contractor information relating to Spares and other RAM target inputs

Main challenges of the job
- Assisting the O&M and Asset Information Manager in coordinating contractors to meet and IM requirements for hierarchy and structure of Digital O&M Information and relationship to asset breakdown structure
- Be the focal point for all issues and queries relating to O&M information including attending and organising meetings with stakeholders and closing out actions
- Understand the complex nature and structure of the information in the Common Data Environment and how that information will be made accessible to the eventual recipients
- Control a workload from diverse areas to meet conflicting deadlines
- Respond quickly to changing priorities and deliver professional results to tight deadlines
- Supporting handover of O&M information from multiple and varied contractors during project phase to the final handover to multiple IMs
Person Specification
- Knowledge of inputs required to deliver an Asset Maintenance Planning System – e.g. Ellipse, Maximo, Siemens Teamcenter for MRO desirable
- Experience working with SAP and/or Maintenance Planning System for aligning and verification with IM system and data requirements
- Experience working with for Maintenance information types including Bill of Materials,
- Maintenance Exam and Standard Job Tasks information hierarchies
- Experience in coordinating multiple stakeholders through review and approval processes, and collecting compliant O&M information from multiple sources essential
- Relevant experience from an O&M background in major infrastructure projects essential with knowledge of MEP and systems engineering an advantage
- Must be a team player with a flexible and can-do approach, strong work ethics, good interpersonal skills and takes initiative
- Good keyboard skills, telephone skills and an excellent standard of spoken and written communication and good competency in numeracy and literacy
- High level competency in Microsoft Office Suite: Word, Excel , PowerPoint, Visio, Outlook etc. for producing workshop and presentation materials for meetings
