Office Manager / Sentinel Coordinator
Location - Liverpool
Salary - £20,000 - £25,000 per annum
An exciting opportunity has opened up for an Office Manager / Sentinel Coordinator within a rail organisation based in Liverpool.
Responsibilities and duties include:
Office Management
- Manage and be the point of contact for all office and management duties
- Manage the contracts relating to the facilities management of the office e.g. window cleaners, general cleaners, security, catering etc in co-ordination with the Property & Estates Manager
- Manage the budget for the contracts, purchase orders & invoicing process relating to the office management contracts in co-ordination with the Property & Estates Manager
- Maintenance issues e.g. lighting, PAT testing
- Devise and maintain office systems, including data management and filing
- Coordinate with the IT department on relevant office equipment
- Phone systems, extensions, and telephone directory
- Notice boards
- Kitchen & stationery supplies
- Recycling
- General office & facilities management issues
- Manage travel bookings for colleagues
- Manage meeting room, conference call, business card requests
- Manage outgoing post & courier requests
Worker Management
- Ordering, processing and issuing sentinel cards and ensuring acknowledgements are received back.
- Book PTS Medicals & D&A's.
- Undertake weekly Sentinel checks.
- Applying for TVP's and maintaining the relevant information in the file.
- Respond to Clients, Managers & HR colleagues requests for copies of certification & workforce information
- Provide back up support for training
- To produce where required lookups / skills matrixes for Contract Supervisors/Managers.
To be successful in this role you will need:
- Proven experience in an Office Management role
- Confident to manage and lead with all levels across the business, especially at board level.
- Excellent communications skills - both verbal and written
- Multi-tasking skills
- The ability to prioritise tasks and delegate when necessary
- Great planning skills
- Accurate reporting skills
- Intermediate to Advanced level in Word, PowerPoint & Excel
- Good standard of education
- Experience with Sentinel
