Personal Assistant (PA) to Managing Director / HR Director in Holborn, PA, Personal Assistant, Administration, United Kingdom

One of the world s leading engineering organisations seeks to secure the services of a proven Personal Assistant (PA) on a contract basis based in Central London. This is a high level position where candidates must have current /previous experience working with senior strategic level managers such as Managing Director, HR Director or Engineering Directors. The contract will initially run until March 2019 with a strong possibility of this being increased. As PA you will provide services to the Managing Director and HR Director in the business and will ensure all appointments, meetings, diary allocations etc are effectively managed. You will be the focal point for communications from the senior management team to the company.

Responsibilities:

? Provide personal assistant duties in relation to the Managing Director. Managing the internal and external flow of information on behalf of the Managing Director ensuring only relevant details are forwarded/communicated.
? Ability to disseminate confidential information to the correct staff levels.
? Diary management effectively organise, manage and communicate diary commitments, ensuring the day runs to plan, providing solutions and alternatives where necessary. Organisation of travel, accommodation (cost management of) appointments and meetings. Mail (post and email) vet, delegate and reply if necessary on MD s behalf.
? Administration service, to include typing of letters, minute taking, taking dictation using shorthand, answering and vetting of telephone calls. Where necessary and appropriate, allocation of administration resources in the business to meet requirements.
? Preparation, co-ordination and minute taking of management meetings when required by the managing director and senior management team.
? Maintain and monitor holiday and sickness register for the senior management team.
? Focal point for communications within SSL. Plan / Organise the logistics of communications events. Manage the internal communications throughout the organisation. Provide local brand management and co-ordination for all local communications (publications, newsletters, e-news, emails, leaflets, posters, merchandise, and adverts).
? Develop and enhance the internal Communications. Liaise with the Business Development Director to create an communications plan and contact list.
? Maintenance and regular update of Intranet. Issue of Communications Briefs to a high level of accuracy and in a timely manner
? Organise and administer major projects, communication sessions and other ad-hoc activities/functions/events in conjunction with the Business Development Director.

To be considered for the role of Personal Assistant (PA) candidates must have current/ previous experience working with senior managers, Managing Director, HR Director etc. You will have advanced MS Office skills, shorthand and typing skills. You will have strong organisation and prioritization skills accompanied with the ability set up and maintain efficient office systems.
