Assistant Project Manager in Swindon, South West, United Kingdom

This role is responsible for supporting Project Managers (PMs) with organising, controlling, reporting and managing Projects to ensure that the goals or objectives of the project are accomplished within the prescribed time, cost, quality and contract parameters. You will be supporting a team of project managers.

The main part of the role will be to support PMs with setting up, managing and closing projects on the AECOM Project Management system. This will include helping to monitor and ensure commercial performance, ensuring data quality on the system and carrying out Estimate At Completion/ Estimate To Complete updates.

Our Swindon office has an established track record of successfully delivering transportation projects throughout the South West, nationally and around the world.

Our office in the heart of Swindon, has good transport links and accommodates a multi-disciplinary transport design centre. Our modern office is set up for flexible working with the successful candidate provided with a lap-top and software that facilitates flexible working which we encourage. Whilst the main working location will be Swindon, the role will be to support PMs in both Swindon and Bristol. There will therefore be some occasional travel required to these offices.

Specific responsibilities will include:

  • Being proficient in using the Project Management system;
  • Weekly/monthly financial analysis of Project Data Reports
  • Mid-month review financial reporting to management
  • Tracking the progress and delivery of deliverables;
  • Drafting invoices for Project Manager approval.
  • Reviewing monthly payment applications and drawing up budget forecasts and ensuring all projects and costs are inputted in to the PM system;
  • Assisting the Project Manager on a daily basis to aid productivity
  • Maintain monthly Finance spreadsheets and associated paperwork and liaising with Accounts;
  • Possibly be the point of contact for the contractors, sub-contractors and all other third parties for any project queries;
  • Working with the Project Managers, prepare and implement Quality Management Plans, which defines quality assurance and quality control of the project;
  • Identifies areas needing improvement and recommends corrective action to improve overall project performance;
  • Audits implementation of quality program to verify compliance and effectiveness;

Minimum Requirements

  • Strong organisational and numerical skills
  • Ability to track and update financial project performance
  • Administrative or project support experience
  • Advanced knowledge of Microsoft Excel, Word and Outlook
  • Good interpersonal, written and verbal communication skills
  • Ability to work autonomously and prioritise own workload
  • Strong attention to detail
  • Ability to meet tight deadlines and work under pressure
  • Ability to establish and maintain good working relationships
  • Ability to influence other staff to obtain information in a timely manner
  • Ability to create and maintain good working relationships in a stakeholder and contractor environment.
  • Experience within a project management environment an advantage.

Preferred Qualifications

  • Accountancy, booking keeping or administrative qualifications will be considered relevant
