Job Summary
The Project Administrator role will be responsible for day to day administration support to the project site team. They will work closely with the Project teams to ensure problems are prevented, identified and resolved efficiently and will work with all team members to continually improve overall functionality of EWR Alliance office.
Key responsibilities;
- Support the Project team with all administration requirements, specifically;
- Establish 2A/2B Sharepoint folder structure and train/implement with delivery team
- Support Project Managers, Safety and Engineering teams with uploading documents onto Sharepoint & eB, including copies of safety briefings, WPPs, TBSs, ITPs, etc.
- Assist procurement team with production and issue of documentation to support ITTs.
- Assist with onboarding process with new staff, including issue of information in advance of start, booking in inductions, ordering PPE and ITT equipment, etc.
- Assisting with training requests.
- Maintain holiday/leave trackers.
- Business rhythm management including preparation of meeting agendas, booking meeting rooms and take formal records of during meetings for Project Leader where applicable.
- Assist with all other ad hoc project administration.
- Assist with any printing requirements for the Project Section team.
- Support the Senior Office Administrator with ad-hoc admin tasks regarding the overall day to day running of the offices.
Job Requirements
The successful candidate will have the following experience/skill set:
Required:
- Significant experience as project administrator in a large, fast paced office
- NVQ Level 3 in Business & Administration
- Demonstrated IT skills: Microsoft Office (Outlook, Word and Excel) and a variety of Office 365 software packages (Share Point, Sway)
- Excellent organisational, planning, analysing, reasoning, problem-solving
- Strong time management skills and ability to multi-task and prioritize work
- Strong verbal, written and interpersonal communication skills
- Strong knowledge of office administrator responsibilities, systems and procedures
- Hands on experience with office machines (e.g. printers, scanners, fax machines)
- Ability to work under pressure and manage a changing workload
