A leading Rail Infrastructure Engineering Consultancy have an interesting opportunity requiring the professional expertise and assistance of an experienced Project Process Administrator.

Our client is renowned within the industry for offering Process, Engineering and Safety Project Management from end to end and have a vast high profile client base which they serve and a strong portfolio of recognised projects of which they have successfully influenced.

Our client has recently acquired additional projects and cases to manage. With this increasing work bank, our client requires a Project Process Administrator, ideally who has worked within a Rail Engineering sector, to take on a range of project supportive tasks to be based initially in west London and might offer some remote working requirements.

What will you be doing?

This is more or less a stand-alone position, reporting to the Managing Director. You the Project Process Administrator will be accountable for managing the setting-up and coordination of varied Project development meetings. This will require you to meet / communicate with key presenters, attendees and key stakeholders prior to the meetings and ensure you collate all information which will be needed to be packaged and distributed accordingly to all parties, ensuring that meeting agendas are created, fit for purpose and relevant.

The need to be able to take accurate meeting minutes is of absolute paramount for this position. Being the Project Process Administrator, you will need to be present in each meeting you organise and take detailed minutes. As each project is high profile and under forms of NEC contracts the accurate documentation of these meetings is vital. The notes you take need to be also packaged and distributed accordingly.

As the Project Process Administrator, you’ll have working appreciation within Office Management, Document Control, Change Management, Personal Assistance and Event Management. Within our clients business you will be requires of carry out other supportive administrative and business critical tasks.

What will you need to know?

It is envisaged that the successful Project Process Administrator will be adequately qualified within Project Administration discipline and possess a strong work history in effectively organising, coordinating and accurately fulfilling a diverse range of high profile project administrative tasks.

With your Project Process Administrative experience you will be used to working within an engineering sector (ideally a Rail Engineering sector) and will be familiar with technical industry terms and jargon to be able to effectively relay understanding.

To be able to organise venues for project and board meetings, ensuring all required equipment is in place and ready for use and that all delegates, stake-holders and other attendees have invites and confirm attendance.

You will be very experienced in taking accurate meeting minutes, ensuring that has been taken down can be understood at all levels once these notes have been drafted and packaged up for distribution.

As the stand-alone Project Process Administrator, you will have the confidence within your role and experience to have the right interpersonal skills to be able to influence where and when needed to make sure you have all the required information you will need to obtain for varied project and business tasks. You will be headstrong and committed to getting things right first time.

You will be a strong communicator at all levels both written and verbal and will be computer literate, being very familiar with MS Office tools and a good working understanding of effective electrical filing systems.
