Purpose of the job:
The Administration Manager has responsibility for the administration of the ISS Labour Ltd HSQE division. The Administration Manager must deliver high-level support to the HSQE team and ISS Resource offices.
Duties and Responsibilities:
- Provide administrative support to the HSQE team to ensure Internal and external HSQE Objectives, Targets and KPI’s are delivered – including the production of HSQE dashboards providing information on HSQE performance, trends, learning points and outputs from site visits, audits and senior leader safety tours
- Develop slide pack for HSQE Meetings ensuring all progress graphs are updated including KPI graphs in time for meeting.
- Check and send HSQE meetings minutes written by the HSQE Support Administrator to all attendees, ensuring relevant discussions and actions are documented
- Provide higher level administrative support to the Directors on vehicle telematics analysis in support of managing road safety risk
- Develop and implement an ongoing strategy for internal and external communications to establish, maintain and raise ISSL’s company profile – including social media posts, website content and job adverts
- Provide administrative support to the HSQE Assurance Manager on managing the ISSL approved supplier list and supplier approval process
- Take ownership for the roll out and successful delivery of the company IHASCO training program
- Oversee the HSQE Support Administrator in the effective administration of SMARTbrief – maintain an effective document control for all briefings issued ensuring reminders are sent and expired documents are updated or removed.
- Take responsibility for the notification of vehicle accidents to the insurance, keeping an up to date tracker of accidents logged and providing additional information to the insurance as required.
- Take ownership for promoting health & wellbeing within ISSL and schedule regular health & wellbeing events
- Respond to internal and external requests for business information. Provide accurate information formatted to the required standards in a timely manner
- Support ongoing Development projects as required, directed by the HSQE Assurance Manager and HSQE Director
- Carry out any other duties that may be reasonably requested.
Qualifications/Experience/ Skills/Knowledge and Training
Experience:
- Three years administration experience
- Managerial Experience – experienced leading a team.
- Has experience managing a high volume of administration with commitment to accuracy.
- MS Excel - Skilled user with knowledge of using formulae and managing large volumes of data
- MS Outlook - Skilled user with strong knowledge and professional email manner
