Works Delivery Assistant
Location: Worthing, West Sussex
Purpose of Job:
Working within the project team, the role will assist with planning, organising, and overseeing the safe delivery of works. Including, but not limited to:
- Assisting with all aspects of the Project Management lifecycle
- Client and Internal interfaces including creating and presenting content at weekly / monthly reviews with both management and the customer.
- Collaborating with internal departments required for project delivery (procurement, operations, engineering, IT etc.) to achieve desired project outcomes.
Principle Accountabilities:
Liaising with the Operations Manager to understand & support completion of a range of tasks including:
- Resource planning
- Request internally the required site access and briefing documentations including SSOWP, TBS, & WPP’s.
- Risk & issue monitoring
- Confirming the correct documentation and information is submitted by the
- field team for engineering to provide timely completion of hand back.
- Ensuring adherence to project management processes, such as internal weekly reporting, communication plans, document control etc.
- Preparing performance reports (weekly status reports / monthly project reviews)
- Communication with the customer / client on delivery progress
- Action tracking
- Budget & cost monitoring
Detailed Responsibilities:
- Support production of a weekly resource plan from information given by the project team.
- Liaise with the engineers regarding requirements.
- Liaise with recruitment agency to arrange temporary staff to support the resource requirements.
- Attend client meetings as required to ensure that the status of the project and agreed actions are reported and progressed.
- Attend site to manage and monitor progress of the site teams.
- Make sure proactive risk management is adhered to ensuring periodic review and action with the project team.
- Understand and ensure the clients standards and rules are incorporated in all works undertaken.
- Supporting the management of project finances in collaboration with the commercial manager
- Work with the Construction Managers, Site Manager and / or person-in-charge to plan works and produce the required documentation.
- Produce / Organise the required site access and briefing documentations including SSOWP, TBS, & WPP’s.
- Ensure that all documents are signed, returned from site, and filed to company standards and procedures.
- Collate all field document returns ensuring that they are a filed for future audits.
- Collate and record the required data to produce Hand back files (H&S files)
- Understand the client Life Saving rules and ensure they are central to all planning of works.
Required Experience, Knowledge, Qualifications and Training:
- Knowledge of NR planning rules and standards.
- Experienced portfolio of Railway Engineering Projects (or equivalent) or demonstrable work experience will be considered.
- Experience of working with both internal management levels and customer representatives
- Ability to effectively manage interactions between different departments to ensure effective resolutions to risks, issues and delivery challenges.
- Can structure own area of responsibility effectively and keep records of all open issues in a very complex working environment.
- Knowledge of MS Office software package including Microsoft Teams
