Document Controller in Derby, Derbyshire, United Kingdom
Morson International are looking to recruit a document controller to be based in the Derby area.
Hours: 37 hours per week. Additional hours may be required depending upon the needs of the business.
OVERVIEW
The main aspect of the role will be Document Control. The priority will be to learn all aspects of document control to the point of being able to confidently and competently carry out all document control duties on a day to day basis thereby, being able to provide full cover during absence and busy periods.
Administrative support will be assisting with the day to day running of the office, including but not limited to the responsibilities listed below.
You will also be required to undertake any other duties associated with these roles as directed by the Office Manager.
Document Control Main Responsibilities
Maintain an up-to-date audit trail of all documentation which has been transmitted to and received from all parties involved in the Project, including the Client, all Sub-Contractors and internal staff transmissions.
Be able to carry out document control duties confidently and competently and as a result be able provide full cover during busy and absence periods. This also includes being able to assist and cover for Source Document control when required.
Manage the control of project documentation as specified and controlled by the client BMS, audit and quality processes and procedures.
Set up folders on the R: Drive via IT and ensure all relevant staff have access to the folder.
Request project specific mailbox via IT. Document control department has overall control and is responsible for all access rights to the folder.
Work closely with and establish a close working relationship with the relevant Client Document Controller
Discuss with the relevant Project Manager the distribution list for incoming and outgoing documentation and set up the distribution lists accordingly.
Ensure distribution lists are kept up to date with any staff changes
Ensure trackers are kept up to date and maintained throughout the Projects lifetime.
Ensure the correct documents (latest revisions and referenced documents) are readily available to Project Teams as and when required and ensure that documents are correctly stored and available to site teams when requested.
Ensure documents are transmitted/submitted to the Client, sub-contractors and project teams within the timescales required by the contract.
Ensure responses required from the Client, sub-contractors and project team are received within the timescales required by the contract.
Ensure all relevant staff have access to and arrange training for the specific software systems to be used.
Any other associated duties which may be required for the role.
Office Administration Main Responsibilities
Provide day to day administrative support for the Derby Office and document control for specific projects within the portfolio.

Ordering Stationary
Sorting out stationary cupboards and taking responsibility for stock levels
Ordering paper, toner cartridges and any other adhoc items
Book Meeting Rooms
Ordering buffets for meetings
Courier items and updating spreadsheet so we have record of items sent
Raise requisitions and PO's using OneSRM
Ensure contact list is updated
Any other associated duties which may be required for the role

EXPERIENCE & QUALIFICATIONS FOR THE ROLE
Working knowledge of EB, ProjectWise, HDMS and other document systems (including future proofing).
Previous experience of working in the rail industry
